How to keep a house and land stock list up to date across builders.

Keep one list in one layout, check every builder on a set day, and never send a buyer a package without checking it's still there.

The short answer.

  • Keep one master list in one layout, whatever format each builder sends.
  • Check every builder's stock on a set day each week, and whenever their emails come in.
  • Record where each price came from and when you checked it.
  • Mark sold and held packages straight away.
  • Check a package is still available before you send it to a buyer.

Why stock lists go stale.

Every builder sends stock their own way: a spreadsheet one week, a PDF or a shared folder the next, and a price change buried in an email. Sold lots stay on your list, prices drift, and sooner or later a buyer falls for a package that's already gone.

Set up one master list.

Give every package the same columns, whichever builder it came from:

  • Estate, lot number and suburb
  • Builder and home design
  • Bedrooms, bathrooms and car spaces
  • Land size and home size
  • Land price, house price and total package price
  • Titles date
  • Status: available, hold, EOI or sold
  • Where the details came from, and the date you checked

Check on a schedule.

Pick a day each week to go through every builder's latest stock and update the list. In between, update it the same day a builder emails a change. A list that's checked weekly is far easier to trust than one that's checked when someone remembers.

Sold, held and price changes.

These matter most, because they're the changes that embarrass you in front of a buyer. Mark a lot sold or held the moment you hear, and keep the old price next to the new one for a week so you can explain the change if a buyer asks.

Before you send a package.

Check three things: the lot is still available, the price is current and the titles date hasn't moved. A quick message to the builder is better than an awkward call with a buyer later.

Sharing with sub-agents.

Put the date you last updated it at the top of the list. Better still, share one link that's always current, so nobody is selling from a spreadsheet you emailed a month ago. For brochures that go with it, see how to rebrand builder brochures.

If you want this done for you.

Our live stock list reads every builder's stock, rebrands it and puts it on your own list. Each change, such as a new price, a sold lot or a new package, waits for your OK before it reaches your list. See the live stock list.
